Staff and their diaries

Every staff member gets their own hours, services, location and login. Customers pick who they want or choose "anyone available" and Appoinly assigns someone. Three roles: owner, admin and staff.

Rooms, chairs and equipment

Tie a service to the room, chair or machine it needs. A slot is only offered when the equipment is free as well as the person — and a resource with three chairs takes three bookings at once.

Your own booking page

Deposits, tips and no-shows

Connect your own Stripe, Viva.com or PayPal account and the money goes straight to your bank — Appoinly never holds it. Take the full price or a deposit, offer tips at checkout, charge a no-show fee to a saved card, refund in one click, and send a payment link for anything still owed. Fourteen currencies, euro included.

Workflows that do the chasing

Pick a trigger — booked, rescheduled, paid, an hour before the visit, marked a no-show, a waitlist seat opening, a membership renewing — add conditions, and say what should happen. Connect your Twilio account and messages go out over SMS, WhatsApp or Viber under your own sender. Webhooks post to your own systems.

Marketing, loyalty and referrals

Pick who to reach — everyone, one client category, anyone who hasn't been in for 90 days, anyone booked in the next 30 — then send now or schedule it. Loyalty points, referral bonuses, coupons and gift cards bring them back. Unsubscribes are honoured for you.

Memberships and prepaid packs

Sell a monthly plan with member pricing or a set number of included visits, and session packs clients draw down over time. Renewals charge the saved card on their own; a declined renewal pauses the benefits and tells you.

Classes, seats and waitlists

Run a class with 12 seats and let clients book into the same slot until it is full, or set up a whole term at once as a repeating series. See who is coming and how many seats are left, and when a full day frees up the waitlist is invited automatically — no phone tag.

Google and Outlook, both ways

Connect a staff member's Google or Outlook calendar: their outside commitments block their Appoinly slots, and their appointments appear in the calendar they already check. Online services get a Zoom or Google Meet link created for them.

Ask before they arrive

Put your own questions on the booking form — allergies, preferences, consent, what they had last time — and the answers sit on the appointment, ready before the client walks in.

Client records and photos

Keep a visit history for every client: what was done, what was used, what to do differently next time — with before-and-after photos attached to the visit and kept in your workspace.

VAT and invoices

Set a VAT rate per service, included in the price or added on top, shown at checkout. Every payment gets a numbered PDF invoice the client can download from their booking, and you can void and reissue one when you need to.

Reports & insights

Revenue, appointments, tips and top services — per staff member and per location, exportable to CSV. Plug in Google Analytics or Meta Pixel and measure ad spend down to the booking.
